Do you copy your documents and files on external devices (for example such as pen drives or memory cards) with a small storage capacity? If this is correct, then you will need small sized files but sure with the same quality.

The software that can do this job efficiently for you is NXPowerLite Desktop. Neuxpower started when a client came to us and told us he'd manually recreated a large file using best practices and managed to shrink it significantly - so why couldn't we do that automatically?

Most Office files contain large amounts of unnecessary data. This isn't simply because the software is inefficient. Users often don't know the techniques that can keep file size to a minimum.

Now, what are the main Features and Uses of NXPowerLite?

Documents:

PDF Compression

PDF files are most often scanned physical documents or documents that have been created entirely digitally often referred to as 'native' or 'born digital' PDFs. NXPowerLite is able to reduce the size of both types of PDF by resizing images, adjusting image formats and quality levels while removing background or hidden data that isn't needed for normal use of the file.

Microsoft Office Compression

Microsoft Office files contain an abundance of content that can be optimized; from oversized images and old fast save information to hidden data in embedded objects. NXPowerLite can selectively optimize each of these elements within the files to create leaner, smaller documents, spreadsheets and presentations.

Video Compression

Generally speaking most devices that shoot videos (e.g. phones, security cameras etc.) are optimized for capturing accurate video streams in real time rather than seeking opportunities to make the files smaller - they simply aren’t optimized for this task and in a lot of cases lack sufficient processing power, time and/or battery (in the case of mobile devices).

Compressing video efficiently takes considerable processing power and time. NXPowerLite is able to leverage the combination of time and processing power to go back through existing video files, decoding and re-encoding them more efficiently. The result is often substantially smaller files with no discernible reduction in playback quality.

Images:

JPEG Compression

Most JPEG images are produced by digital cameras, which are optimized to preserve as much information as possible in order to allow the image to be edited and post-processed. Most of this information is not visually detectable and unnecessarily increases the size of the file. NXPowerLite uses a number of techniques to reduce the amount of data in JPEG files, resulting in impressive size reduction without discernible loss of quality.

PNG Compression

To reduce the size of PNG files the software reduces the number of colours in a PNG image, which allows it to convert the 24-bit PNG to a much smaller, more efficient 8-bit indexed color image. The file size reduction can often be as much as 60-80% smaller than equivalent 24/32-bit PNG files.

TIFF Compression

NXPowerLite can shrink uncompressed TIFF images by applying lossless LZW compression. As this built-in compression method for TIFF files is lossless it's a great opportunity to reclaim server space.

Many TIFF files are stored uncompressed despite the file format having a number of lossless compression methods built in. This results in much larger file sizes, with the only benefit being slightly faster opening times.

The results screen appears after you complete the file compression task. It shows the size before/after and compression status of each file. You will have many options to choose including Zip, email, open optimized files, or export results to a csv file.

What's New in NXPowerLite Desktop 9

Version 9 of the hugely popular file compressor NXPowerLite Desktop is currently available with many new features and improvements.

Choose your settings in Explorer

Now you can select both the output folder and optimize profile each time you are compressing files, which makes it much more effective if you regularly need to compress files for different purposes. If you prefer to just use the same profile every time without being asked, you can configure this in Preferences.



Frequently used folders

Previously NXPowerLite only provided one custom folder that can be used to save new file copies or backups. If you needed to use a different folder, your previous folder would be replaced. Now the 5 most recently used folders are automatically saved in the app and you can switch between them easily.

Export your results

Now if you compress a batch of files you can choose to export the detailed results to a csv file. Helpful if you need to perform any follow up actions on files that didn’t compress etc.

Compress Microsoft Office files created by other apps

Although apps like Google Docs can save in the Microsoft format, they don’t always write files that conform explicitly to the documented standards. This can cause unpredictable issues with software like NXPowerLite, so earlier versions would skip these files to avoid any unfortunate accidents. Following extensive testing we are now satisfied that NXPowerLite can safely reduce them, so we’ve enabled compression for these files in version 9.

Smaller Microsoft Office files

NXPowerLite can now further compress PNG images inserted into PowerPoint, Word and Excel files by reducing their color depth where possible. Many files containing PNGs are now likely to compress significantly more than before, in some cases files that could not be compressed at all by earlier versions can be reduced by 50% or more.

Flatten embedded charts in DOCX and PPTX files

This is huge! When you insert a chart into PowerPoint or Word from Excel using the default paste option, you end up with a complete copy of the Excel file saved inside your presentation or document. This will happen again if you paste a second different chart in and so on. You can see this effect in the image below where 15 charts were added to a presentation from the same Excel file creating a 95mb PPTX file!

The above presentation didn’t compress with version 8 but with version 9 can now be reduced to 166kb and the charts remain fully functional! This feature is on by default and can be enabled/disabled with the “Flatten embedded objects” checkbox in your PowerPoint or Word optimize profiles.

Compress header and footer images in DOCX files

NXPowerLite couldn’t previously find images that had been inserted into either headers or footers of Microsoft Word documents as they were squirreled away in a super-secret internal location. So if you had heavy images like logos in headers or footers, chances are you would have been disappointed with the compression. Not anymore! NXPowerLite now finds these images and works its magic.

Allow JPEG conversion

One way that NXPowerLite is able to compress files so much is finding images in other less-efficient formats and converting them to JPEGs. Sometimes however, the author wants to keep the images in their original format even if they would be smaller as JPEGs. Now it is possible to do that by disabling the Allow JPEG conversion setting in your PDF or Microsoft Office profiles.

Updated PDF Library

The version of the PDF library used from Adobe was replaced and it has a host of low-level bug fixes, taking care of many known issues that occasionally cropped up with PDF files and thwarted our compression.

Other UI improvements

In version 8, the option to replace the original file with a smaller compressed one was added without creating any additional files. To ensure people didn’t do this and then regret no longer having their original file(s) a warning was added to ask them to pause and think. Unfortunately, once you’ve thought about it once and understand how it works, being warned every time turned out to be annoying, you can now turn it off here, or in Preferences.

The minimum size of the application window was reduced, which had been creeping upwards over previous iterations. This had caused a handful of users problems if they had smaller screens, combined with using Windows zoom feature that blows up the display size of applications. This was cutting the rather important “Optimize” button off the bottom of the screen, which was extremely sub-optimal. That won’t happen now.

The Explorer right-click menu was simplified to just one sub-menu with all the options rather than three top-level options and three sub-menus. It’s just easier to understand and use.

Dragging a file over NXPowerLite will now (when available) show you the thumbnail/icon and filename of the file you are dragging.

The results screen used to have just a “Close” button, which took you back to the start screen. Now this "Restart" was renamed and a new "Exit" button was added, this helps to completely closes the app with one click.

The “Optimize” button now has focus so when you drag a file onto NXPowerLite you can immediately just hit Enter to start optimizing. Previously you would have had to move your mouse over to the optimize button and click again. It may seem minor but for some people this was a major source of aggravation.

Compress files from Explorer:

You can access the majority of NXPowerLite’s functionality from within Explorer by selecting one or more supported files and right-clicking, which gets you to the menu shown below:

Under the main NXPowerLite menu you have the following options:

Create optimized copy: This option will copy the selected file(s) and then compress the copies creating new smaller versions, without touching your original file(s).

Back up and replace original: This option creates a backup copy of the original file and then replaces the original with a smaller compressed version. The advantage of this approach is that your compressed files keep their original filenames.

Replace original: If you don’t need the originals, or if you have copies elsewhere then this option allows you to compress files in place without creating any additional copies or backups.

Optimize and zip: This option will shrink all of the selected files using NXPowerLite compression and then as a final stage will create a Zip file that all of the files will be placed inside. Handy if you need to collect files together to send by email, or if you are archiving files.

Optimize and email: If you are intending to email the files then this option can streamline the process further. Select this and the files will be compressed and automatically attached to a new email message ready to send. If you are sending a larger number of files then you can instead choose Optimize and email (zipped), which will also collect the files into a single zipped file attachment.

Add to NXPowerLite: This option simply opens the NXPowerLite app and adds your chosen file(s), ready to compress.
 
Settings

After choosing one of the options above you will then be asked to choose the settings you want to use:

Optimize profile: 

These profiles determine the settings used to compress your files. You can create as many profiles as you need. This will let you easily control the compression settings for any supported file type and save them in a custom profile. For example, you set profiles for PowerPoint, PDF JPEG and so on

If you don't want to use the default optimize profile settings, it is possible to create or import custom optimization profiles into NXPowerLite Desktop 8 or above. You can find a list of popular optimization profiles to download HERE.

Create copy in or Create backup in: 

Choose to either have the new copies or backups saved in the same location as the original files, or alternatively select another folder.

Choosing your settings each time is handy if you like to switch between profiles regularly depending on the job at hand. One example would be if you needed to switch between optimizing JPEGs (without reducing their resolution) and optimizing & resizing JPEGs. You can see below the size difference this can make when compressing photos.

The file size difference between just optimizing an image and optimizing and resizing can be vast, so this is a great option when you need to compress images to send by email.

If you prefer to compress files from Explorer using the same profile every time without being asked, you can configure this in File > Preferences:

This is also where you can specify the naming convention you would like NXPowerLite to use when creating new files.



Outlook:

NXPowerLite Desktop integrates with Microsoft Outlook (2007 - 2019) to automatically optimize email attachments as they are sent. During program installation using either 'Typical' or 'Complete' setup or 'Custom' setup with 'Outlook Integration' box ticked; Microsoft Outlook integration will be initially enabled. Now, when you send an email with an attachment that NXPowerLite can optimize, it will be automatically optimized as the email is sent. At any time if you don't want NXPowerLite to optimize a particular email, simply click 'NXPowerLite enabled' button in the ribbon. O course you can enable it later if you want

All you have to do is to click on the 'NXPowerLite options' button in the main Outlook window and choose 'Settings then do the required changes
